Keeps a record of whatever communication happens between the participant and the admin/company.
Communication/Contact type can be a call, email, home visit, meeting, etc.
After the communication takes place, the admin creates a case note to capture the important points from that interaction.
The note is saved against that specific client’s profile.
There’s an option (Link to Shift) to attach the created case note to a current or future shift for that particular client, if the communication relates to a scheduled service.
Anytime later, the admin can open that client’s profile and view/delete/edit/download all case notes ever created for them.
Essentially, it’s a running history of “what was discussed and when” for each participant.
Case Notes (Care Coordinator)
Same basic idea — But here, every note also has to be tagged for billing, since coordination time is often chargeable. Each note is marked as one of:
Billable
Non-Billable
Non-Billable Office Work
Only Billable notes get sent through to invoicing.
Along with the note, the coordinator also selects: Pricebook, Support Item, Service Region/State, and Contact Type (this changes depending on the billing type chosen).
A document can be attached to the note if needed.
The coordinator can also view/edit/delete/download all past notes for that client anytime.
Summary
Standard case notes are just for keeping a communication history.
Case notes in the Care Coordinator module can do that plus decide what gets billed and how, using the billing type, price book, support item, and region selections.
